How a referral works — step by step

The school's involvement is a single conversation. Everything from that point — scheduling, onboarding, sessions, progress tracking — is handled by Ascera directly.

School identifies a student

A subject teacher, pastoral lead, or SENDCO identifies a student who would benefit from structured external support — whether they are underperforming or need to push for a higher grade. No formal documentation is required.

A single email or conversation

The school contacts Ascera directly with the basics — year group, subject, and what the student is working towards. Alternatively, Ascera's details can be passed directly to the family to make contact themselves.

Ascera contacts the family within 24 hours

We reach out to the family, arrange a free 30-minute consultation call, complete onboarding, and confirm the session schedule — all directly with the parents. No follow-up is required from the school.

Sessions begin — progress visible within weeks

Tuition typically begins within one week of first contact. With parent consent, session summaries and grade progress can be shared back with the referring teacher at agreed intervals — no ongoing admin required from the school.

Ascera was founded by Harsil Dixit — a UCL 1st Class Honours graduate with over five years tutoring GCSE and A-Level students across state, grammar, and independent schools in North London and Hertfordshire. Every session is planned and delivered personally — no associates, no subcontracting.

What schools ask before partnering

What is the school's financial or administrative commitment?
None. Schools make no financial commitment whatsoever. Tuition is contracted directly between Ascera and the student's family. The school's role is simply the initial referral — everything from scheduling to payment is handled between Ascera and the family. No paperwork, no ongoing involvement, and no minimum duration required.
How is student data handled, and what is shared back with the school?
Ascera is ICO registered (ZC121786) and operates in full compliance with the UK Data Protection Act 2018 and UK GDPR. Student data is never shared with any third party. Progress updates are only ever shared back to the school with explicit written consent from the parent or guardian — confirmed before sessions begin. The scope of what is shared is agreed upfront.
What safeguarding procedures does Ascera follow?
All sessions are conducted online via a secure video platform — there is no in-person or home tutoring. Ascera holds an Enhanced DBS certificate (available on request). Sessions are strictly one-to-one with the student, and parents are welcome to be present at any time. The online-only format creates a transparent and auditable session environment, and a session record is maintained for every student.
What happens if a referred student is not making progress?
If a student is not responding as expected, we reassess the approach — adjusting topic focus, session structure, or how material is delivered. We communicate honestly and directly with the parents, and can flag the situation to the referring teacher with consent. No student is left without a clear plan and a frank conversation about what needs to change.
Can we see a sample progress report before agreeing to a partnership?
Yes. We can share a redacted sample progress report during our initial call. Reports are written in plain language — not jargon — and are structured so a form tutor or pastoral lead can read them quickly. They cover session focus areas, what was covered, how the student responded, and next steps.
How quickly can sessions begin after a referral?
In most cases, within one week of first contact. The consultation, onboarding and first session can all be arranged within the same week during term time. For urgent cases — approaching mocks or final examinations — we can often begin within 48 hours of initial contact.
What will it cost families — and is it accessible for all students?
Tuition is contracted directly between Ascera and the family — the school has no financial involvement whatsoever. Session rates are in line with qualified independent tutors in North London and are published on the main site at asceratutoring.co.uk. For families with genuine financial constraints, Ascera is happy to have an honest conversation about what is workable — referrals should never be withheld on the assumption that a family cannot afford support.
